What is When-to-Work?

The American Red Cross PHSS department uses the When-To-Work scheduling system to  assign CPR instructors to Community and Full Service courses.  In order to be assigned to teach classes, you must update your availability and show “Green” (open) availability during times when courses are normally held in your area/region.

 Using When-To-Work for the First time:

If you are using When-To-Work for the first time, your Supervisor or Scheduler will create an account for you.  Upon creation you will receive an account verification via email that with a link to the site.  Here you will be prompted to create a username and password of your choosing (When-To-Work usernames and passwords are not the same as your Red Cross account username and passwords).

Posting your availability in the scheduling system is easy and fun!

  • Updating your availability should be done at least weekly
  • Your availability should always accurately include and represent a 3-month minimum range.
  • Only use (GREEN) for available and (RED) for not available.
Color Conventions and Rules

Availability should only be entered as RED or GREEN (DO NOT USE PINK).  Also, please make sure not to leave any boxes “White/Blank”.

Notifications

:When you are assigned to a shift you will immediately receive an email notification to your Red Cross email. This is your confirmation of shift assignment.

Pre-Course action when you are assigned:

Make sure that if you are assigned to a Full Service (off-site) course that you plan to contact the client 3-5 business days before the start of the class to verify logistical details and have your digital forms ready to collect the participant information on the day of the course.

If you are teaching a Community (on-site) course, you will download the digital rosters with the pre-registered participant info so you’ll be prepared to set up your training for the number of participants showing on your list.
